To set up a Paginated Report in Power BI that dynamically evaluates page breaks on category groups, follow these instructions:
1. Create a Paginated Report through Report Builder
Open the Power BI Report Builder and insert either a Table or a Matrix.
Add your dataset that includes the specifics of the Region or Department (your grouping category).
2. Defining Grouping and Page Breaks
From the bottom, access the Row Groups panel.
Right-click on the group above (say Region or Department) and choose Group Properties.
On page breaks, enable "Between each instance of a group" for that group to appear on a fresh page.
3. Preserving Formatting and Readability
Format each column as required, and also ensure that the Keep Together option is turned off in the group properties so that blank pages do not appear.
Add a Page Header and Footer for that extra touch of professionalism that is settled once and stays consistent in its appearance from page to page.
Check the previewing of the report to verify that each playground appears as a separate page dynamically.
4. Export and Publish
Taking it a notch up, export the report as a PDF or print it to test whether the page breaks come off correctly.
